AtHomeDental ("we", "us", "our") provides mobile dental care to homes, nursing and residential homes, and workplaces across Ireland. This website is athomedental.ie.

The data controller responsible for your information is Wishmill Ltd, trading as AtHomeDental, of [CONFIRM: registered address].

What information we collect

When you contact us through the website request form or through our online chat assistant, Clara, we collect the details you choose to give us:

your name, and who the visit is for (for example, yourself or a parent);
your email address and phone number;
the address or Eircode where a visit would take place;
the age of the patient, where you tell us; and
what you tell us about the dental problem or the care you are looking for.

Some of this — details about a dental problem, symptoms, or a person's health — is special category data (health data) under the GDPR, which the law protects more strictly. We only collect it because you have chosen to tell us in order to arrange care, and we treat it as confidential.

We do not ask for, and you should not send us, financial details such as card or bank numbers through the website.

Our website also uses cookies and similar technology, including optional analytics that only run if you agree. This is explained in full in our Cookie Policy.

Why we use it, and our legal basis

We do not use your information for advertising, and we do not sell it to anyone.

Who we share it with

We share your information only with the organisations that help us run the service, and only as far as they need it:

Our chat and enquiry system — the website form and the Clara chat assistant are provided by Fiacail.ie, which passes your enquiry to us. When a conversation or form is completed, a summary of your enquiry is emailed to our team.
Our customer records system — enquiries are recorded in Boxly, the system we use to manage and follow up on requests.
Our email provider — email for this domain is handled by InterServer / Mail.Baby.
Our website host — the site is hosted by InterServer, Inc.
Google Analytics — only if you accept analytics cookies (see the Cookie Policy). This helps us understand how the site is used. It is provided by Google Ireland Limited.

Each of these acts as our processor and is bound to handle your information securely and only on our instructions. We may also disclose information where we are required to by law.

Sending information outside the EU

Some of our providers (for example Google) may process data on servers outside the European Economic Area, including in the United States. Where that happens, the transfer is protected by the safeguards the GDPR requires, such as the European Commission's Standard Contractual Clauses or an adequacy decision.

How long we keep it

Enquiries that do not lead to an appointment: kept for 12 months, then deleted.
Clinical and patient records: kept in line with our professional and legal obligations — 8 years from the date of last treatment for adults; for anyone treated while under 18, until they reach the age of 25 (whichever is longer).
Analytics data: retained by Google for 14 months, the period set on our account.

Keeping it safe

We use appropriate technical and organisational measures to protect your information, and everyone who visits your home or a care setting on our behalf is bound by confidentiality.

Your rights

Under the GDPR you have the right to:

ask for a copy of the information we hold about you;
ask us to correct anything that is wrong;
ask us to delete information where we are not required to keep it;
ask us to restrict or object to how we use it;
ask for your information in a portable format; and
withdraw your consent at any time, where we relied on consent.

If you are unhappy with how we have handled your information, you can complain to the Irish supervisory authority, the Data Protection Commission, at www.dataprotection.ie.

We may update this policy from time to time. The date at the top shows when it was last changed.
